Integrated Records Management, Retention and Conversion to Digital Archives Give Miller, Canfield, Paddock and Stone, P.L.C. a C

CHICAGO, Feb. 22 /PRNewswire-FirstCall/ -- Oce Business Services, a division of Oce , a global leader in digital document management and delivery solutions, today announced it will provide records management services for Miller Canfield, a leading Midwest law firm. With 15 offices, 340 lawyers, and 400 employees, Miller Canfield expects to streamline their records management process and improve business productivity while maximizing security and reducing costs.

"New regulations and records technologies are transforming the way business is done today," said Miller Canfield's CEO, Thomas W. Linn. "Compliance requirements for regulations like Sarbanes-Oxley and HIPAA demand that companies implement integrated state-of-the-art records solutions that account for all records -- electronic and hard copy. Law firms need to do the same. Miller Canfield will lead its peers in the marketplace with a records system that improves workflow and frees attorneys to focus on client needs. Over time, we will see reduced costs for records management."

OBS will convert approximately four million pages of files to a new filing system controlled by a master database that allows for tracking and indexing. Components of the solution include on-site and off-site file room management services, scanning services, staffing, training and new hardware and software. In addition, OBS records consultants will help Miller Canfield management develop a policy and schedule for retaining records that manages compliance, financial and operational risks. The contract also provides a path for migration to electronic records management and retention that allows staff to securely access files on demand at their desktop from any location. The entire solution can be measured for efficiency using Oce program management software, which also provides records tracking, reporting and audit trail capabilities.

"The Oce records solution gives Miller Canfield a competitive edge," said Joseph Marciano, president of Oce Business Services. "Our advanced technology is critical, but equally important are the expert services that support it. Miller Canfield chose Oce Business Services because of the experienced professionals we have on the ground, our extensive legal industry experience, and our technology."

The Oce Business Services suite of records management services are custom-tailored based on each client's needs. Expert consultants help identify a client's goals and requirements for establishing a retention schedule and classification system, which often includes digital capacities. OBS records services are one component of the company's full range of document management services that span mail, copy, print, scanning, records management and archiving. The scope of services provided includes:
